The following guidelines (this "Privacy Policy") set forth our general privacy practices and principles that apply to information we collect that alone or in combination with other information in our possession personally identifies you ("Personal Data"), which may include information collected through our website located at www.lanyardstays.com (together with its related sites, the "Website"), which is owned or operated by Lanyard, A Shared Stay, Inc. or companies related by common ownership or control (collectively, "we," "us," or "our"). This Privacy Policy applies to Personal Data we collect through the Website, through our corporate housing and relocation Services, and through our business relationships with corporate clients and their personnel, whether collected online or offline.
Where required by applicable law, we obtain consent for the collection, use, and disclosure of Personal Data. You may withdraw your consent at any time, subject to legal or contractual restrictions and reasonable notice.
We provide corporate housing and relocation services to businesses, including sourcing furnished and unfurnished housing for our clients' employees, contractors, and other travelers, coordinating stays, and invoicing our clients for payment. We do not enter into leases with property owners or occupants (collectively, our "Services").
We use this Privacy Policy to try clearly disclosing to you our privacy practices in a manner that is easy to understand. If there is something you do not understand about our privacy practices, please feel free to contact us at privacy@lanyardstays.com.
We may change this Privacy Policy from time to time so please check back often. If we significantly change our collection, use, or disclosure practices, we will try to send you a notice via email if you have provided us with an email address. By continuing to use our Service or providing us with Personal Data after we have posted an updated Privacy Policy, or notified you by other means if applicable, you consent to the revised Privacy Policy and practices described in it.
Children
Our Website and Services are not directed to children who are under the age of 18. We do not knowingly collect Personal Data from children under the age of 18. If you have reason to believe that a child under the age of 18 has provided Personal Data to us through the Services please contact us at privacy@lanyardstays.com and we will endeavor to delete that information from our databases.
What Personal Data Do We Collect From You?
We collect Personal Data as follows:
Personal Data You Provide. We collect Personal Data when you visit the Website, register to use the Services, in connection with your use of the Services, and in other instances where you may provide it to us. The Personal Data collected during these interactions may vary based on what you choose to share with us, but it will generally include your name, email address, mobile phone number, physical mailing and billing address, company name and your company title. We will also collect certain payment information in connection with the Services, including as necessary to ensure payments can be processed by our third-party payment processors, such as Bill.com ("Processor"). This information is processed by Processor and we do not store or access it. Accordingly, in addition to this Privacy Policy, payment information is also processed according to Bill.com's Services Agreement and Privacy Policy.
Information We Collect. In connection with our corporate housing and relocation-related Services, we may collect information relating to employers, employees, contractors, travelers, and housing occupants, including housing preferences, stay dates, furnishing requirements, contact information, billing information, and relocation-related requests or accommodations.
Personal Data We Receive From Corporate Clients and Other Third Parties. Because we provide our Services to businesses, we frequently receive Personal Data about individuals, such as a client's employees, contractors, relocating personnel, and accompanying household members from our corporate clients or their authorized representatives rather than from the individuals directly. This information may include names, contact details, travel and stay dates, housing and accommodation preferences, and other information necessary to arrange housing. Where we receive Personal Data about an individual from a corporate client or other third party, that client or third party is responsible for providing any required notice to, and obtaining any required consent from, the individual before sharing the information with us. We rely on our clients' representation that they have the authority to share such information with us, and we process it in accordance with this Privacy Policy and applicable law.
Personal Data We Receive Automatically From Your Use of the Services. When you visit, use and interact with the Website, we may receive certain information about your visit, use or interactions. For example, we may monitor the number of people that visit the Website, peak hours of visits, which page(s) are visited, the domains our visitors come from (e.g., google.com, yahoo.com, etc.), and which browsers people use to access the Website (e.g., Google Chrome, Microsoft Edge, etc.), and geographical location information. In particular, the following information may be created and automatically logged in our systems:

A cookie is a small amount of data that is sent to your browser from a Web server and stored on your computer's hard drive. Cookies enable us to identify your browser as a unique user. Cookies may involve the transmission of information from us to you and from you to us. Web Beacons/Pixel Tags. We also employ a software technology called a clear GIF (Graphics Interchange Format), also known as a pixel tag or Web beacon. A clear GIF is a line of code that we place on our Website or in e-mails which allows us to analyze our advertising and the general usage patterns of visitors to our Website. For example, we or our service providers may use pixel tags to determine whether you have interacted with a specific part of our Website or viewed a particular advertisement. These help us better manage content on our Website by informing us what content or promotions are effective. Unless you consent, we do not collect Personal Data from you through the use of web beacons. You may not disable Web beacons.
Log Files. Like most standard website servers, we use log files. Log files track Internet protocol (IP) addresses, browser type, Internet service provider (ISP), referring/exit pages, platform type, date/time stamp, and number of clicks. We utilize this information to analyze trends, administer the site, prevent fraud, track website navigation in the aggregate, and gather broad demographic information for aggregate use.
Social Networking. The Website permits you to use a third-party social networking platform such as LinkedIn. These plug-ins allow you to follow us on those services. When you use social networking platforms and plugins, you share your information with them and their privacy notice applies to their disclosure of such information. In addition, they may be able to collect information about you, including your activity or may notify your connections on the social networking platform about your use of our Website. Such services may allow your activity to be monitored across multiple websites for purposes of delivering more targeted advertising. What Choices Do You Have About The Collection Of Personal Data?
You can always choose not to submit information. You can disable cookies in your browser. You can choose not to use social networking plug-ins. You can opt-out of our marketing related emails.
Direct Collection. If you do not want to share your information, you can choose not to participate in a particular service or activity. However, if you choose not to provide Personal Data that is needed to use some features of our Services, you may be unable to use those features.

Advertising networks may collect Personal Data through the use of cookies. Most advertising networks offer you a way to opt out of targeted advertising. Web Beacons. It is not possible to disable Web beacons.

Marketing Emails. To ensure that you will not receive recurring marketing or other information from us unless you choose to, we will provide you with simple instructions on each marketing email from us for you to let us know that you have chosen to stop receiving such emails from us. In addition, if at any time you do not wish to receive future marketing communications, you may contact us at privacy@lanyardstays.com. If you unsubscribe from our marketing lists you will no longer receive marketing communications, but we will continue to contact you regarding management of your account, other administrative matters, and to respond to your requests.
For individuals and organizations located in Canada, Lanyard will send commercial electronic messages in accordance with applicable Canadian anti-spam laws, including Canada's Anti-Spam Legislation ("CASL").
Recipients may unsubscribe from marketing communications at any time by using the unsubscribe mechanism included in our communications or by contacting us directly.
Do Not Track and Global Privacy Control. Do Not Track ("DNT") is a privacy preference that users can set in their web browsers. Because there is no uniform standard for recognizing DNT signals, our Website does not respond to DNT signals. We do, however, recognize and honor the Global Privacy Control ("GPC") signal as a valid request to opt out of the "sale" or "sharing" of personal information for the browser and device transmitting the signal. How Do We Use Your Information?
Our main goal in collecting information is to improve the Services and provide you with the best possible experience on the Website. For example, by using the information we collect, we can provide you with an easy to use and readily available forum to ask questions about our products and services.
Cross-Border Transfers
Lanyard is headquartered in the United States. Personal Data may be transferred to, stored in, and processed in the United States or other jurisdictions outside your province, territory, or country of residence.
These jurisdictions may not provide the same level of data protection as your home jurisdiction. By using the Services or providing Personal Data to us, you understand and acknowledge that your information may be transferred internationally for the purposes described in this Privacy Policy.
Indirect Collection – Cookies and Other Technology. We may use Personal Data we automatically collect from you to:
- Provide you with personalized content based on your use of our Website
- Enable you to more easily use our Website by remembering and using contact information, purchasing information, and registration information
- Evaluate, monitor and analyze the use of our site and its traffic patterns to help improve our Website and Services

- Compile, analyze and do research on our user's demographics and behavior
- Detect, investigate and prevent activities that may violate our policies or be illegal
- We use, and share location data only to provide and improve our service.
SMS / Text Messaging
If you provide your mobile phone number and opt in through a form or checkbox on our Website, you consent to receive text (SMS) messages from us related to your housing requests, bookings, and account, and, where you have separately agreed, marketing or promotional messages. Consent to receive marketing texts is not a condition of using our Services. Message and data rates may apply, and message frequency varies. We send text messages in accordance with applicable laws, including the U.S. Telephone Consumer Protection Act ("TCPA") and, for recipients in Canada, Canada's Anti-Spam Legislation ("CASL").
You may opt out of text messages at any time by replying STOP to any message from us, and you can reply HELP for help. After you opt out, we may send a single confirmation message acknowledging your request. You may also contact us at privacy@lanyardstays.com to update your messaging preferences.
Phone numbers for SMS will not be sold, rented, or shared with 3rd party/affiliates for marketing purposes.
Who Is Collecting Your Information?
We collect your Personal Data and may use third-party service providers to assist with that collection.
When you are on our Website and are asked for Personal Data, you are sharing that information with us and our affiliates and service providers. Although we generally operate the Website and collect the information, we may engage third party service providers to assist us in that collection.
Other websites to which we link may collect personally identifiable information about you when you visit those sites. The information practices of other websites linked to our Website are not covered by this Privacy Policy.
With Whom Do We Share Your Personal Data?
We share your information with companies who assist us in providing services, when we need to protect our Website or information, and when we sell our businesses. We do not sell your personal information for money. As described in the California Residents section below, some of our use of third-party analytics and advertising services may qualify as "sharing" of personal information for cross-context behavioral advertising under the California Consumer Privacy Act, and you have the right to opt out of such sharing.
We will not otherwise disclose any of your Personal Data except when we have your permission or under special circumstances, such as when we believe in good faith that the law requires it or under the circumstances described below. These are some of the ways that your information may be disclosed:
Service Providers. We occasionally hire other companies to provide limited services on our behalf, including, website development and operation, answering customer questions about products or services, sending postal mail or email, analyzing website use, processing payments, providing investor information and processing data. We will only provide those companies Personal Data they need to deliver the Service, and will use commercially reasonable efforts to ensure they are contractually prohibited from using Personal Data for any other reason.
Aggregated or Anonymized Information. We may collect or generate aggregated and/or anonymized Personal Data and use the aggregated and/or anonymized information to analyze the effectiveness of our Services, to improve and add features to our Services, and for any other lawful purpose. In addition, we may share aggregated and/or anonymized information with our business partners and other third parties. Affiliates. We may share Personal Data with our affiliates, meaning an entity that controls, is controlled by, or is under common control with us. Our affiliates may use the Personal Data we share in a manner consistent with this Privacy Policy.
Business Transactions. As we continue to develop our business, we may buy or sell businesses or assets. In such transactions, confidential customer information generally is one of the transferred business assets. In the event of a transaction involving the sale of some or all of our businesses, your Personal Data and other information may be shared in the diligence process with counterparties and others assisting with the transaction and transferred to a successor or affiliate as part of that transaction along with other assets. In such case, the transferred information may become subject to a different privacy policy.
International Data Transfers. We are based in the United States and provide our Services to clients in the United States and Canada. Personal Data we process may be transferred to, stored in, and processed in the United States and in other jurisdictions where we or our service providers operate. If you are located in Canada, your Personal Data may be transferred to and stored in the United States, which may have data protection laws that differ from, and are in some cases less protective than, the laws of your province or territory. How Can I Control My Personal Data?

How Do We Protect Your Information?
We use commercially reasonable efforts to protect your Personal Data. The Website does not use encryption except where noted.
Because information sent through the Internet travels from computer to computer throughout the world, when you give us information, that information may be sent electronically to servers outside of the country where you originally entered the information. Unfortunately, no data transmission over the Internet can be guaranteed to be 100% secure. Except as specifically stated, this site does not use security encryption measures. Information that you disclose by use of this site (as with any site that is non-secure) by posting a message potentially could be collected and used by others. This may result in unsolicited messages from third parties or use of such information by third parties for their own purposes, legal or illegal. As a result, while we strive to protect your Personal Data, we cannot ensure or warrant the security of any information you transmit to us or from our services, and you do so at your own risk. Once we receive your transmission, we use commercially reasonable efforts to ensure its security on our systems.
Notification of Security Incidents. If we become aware of a breach of security safeguards involving Personal Data that creates a real risk of significant harm, or that otherwise triggers a notification obligation under applicable law, we will notify affected individuals and the appropriate regulators or authorities as and when required by applicable law, including PIPEDA, Quebec's Law 25, and applicable U.S. state breach-notification laws. We will also notify our corporate clients of incidents affecting Personal Data we received from them, consistent with our agreements and applicable law.
How Long Do We Retain Personal Data?
We keep Personal Data for as long as you use the Services or as reasonably necessary or advisable to fulfill the purpose(s) for which it was collected, provide the Services, resolve disputes, establish legal defenses, conduct audits, pursue legitimate business purposes, protect against fraud, enforce our agreements, and comply with applicable laws. In general, we retain housing, stay, and billing records for the duration of the applicable client engagement and for a reasonable period afterward to meet tax, accounting, audit, and other legal requirements, after which we delete or de-identify the Personal Data. When Personal Data is no longer needed for these purposes, we take reasonable steps to securely destroy, erase, or anonymize it. We will return or delete Personal Data received from a corporate client where required by our agreement with that client or by applicable law.
California Residents
If you are a California resident, the California Consumer Privacy Act, as amended by the California Privacy Rights Act (collectively, "CCPA"), provides you with the rights described below in addition to the rights described elsewhere in this Privacy Policy.
Categories of Personal Information. The categories of personal information we collect, the sources from which we collect it, the purposes for which we use it, and the categories of third parties with whom we share it are described in the "What Personal Data Do We Collect From You?", "How Do We Use Your Information?", and "With Whom Do We Share Your Personal Data?" sections above. We do not knowingly collect or process sensitive personal information for purposes that require a separate opt-in under the CCPA.
Your Rights. Subject to certain exceptions, you have the right to:
- Know what personal information we have collected about you and how we have used and disclosed it;
- Request deletion of your personal information;
- Request correction of inaccurate personal information;
- Opt out of the "sale" or "sharing" of your personal information; and
- Not be discriminated against for exercising any of these rights.
"Do Not Sell or Share My Personal Information." We do not sell personal information for money. However, when we use third-party analytics and advertising services (such as Google Analytics, HubSpot, Salesloft, and ZoomInfo) to deliver, measure, or improve our marketing, those activities may qualify as "sharing" personal information for cross-context behavioral advertising under the CCPA. You may opt out of this sharing by:
- Selecting "Reject All" or disabling Marketing cookies in our cookie preference center on the Site;
- Sending a Global Privacy Control signal from your browser, which we honor automatically; or
- Contacting us at privacy@lanyardstays.com.
How to Submit a Request. To exercise your rights to know, delete, or correct, please email us at privacy@lanyardstays.com with the subject line "California Privacy Request" and include enough information for us to verify your identity (such as your name and the email address associated with your interactions with us). We will respond within the time required by law.
Authorized Agents. You may designate an authorized agent to make a request on your behalf. We will require written proof of the agent's authorization and may also require you to verify your identity directly with us.
Shine the Light. California Civil Code Section 1798.83 also permits California residents to request information regarding our disclosure of personal information to third parties for their direct marketing purposes. To make such a request, please email privacy@lanyardstays.com with the subject line "Shine the Light Request."
Other U.S. States
Residents of other U.S. states with comprehensive consumer privacy laws including Virginia, Colorado, Connecticut, Utah, Texas, Oregon, and Montana may have rights similar to those described above, including the right to access, correct, delete, and opt out of targeted advertising or the sale of personal data. To exercise these rights, please contact us at privacy@lanyardstays.com. We honor recognized universal opt-out signals (including GPC) in the states where such signals are required to be honored.
Canadian Privacy Law Disclosure (PIPEDA)
If you are located in Canada, including Quebec, we process Personal Data in accordance with applicable Canadian privacy laws, including the Personal Information Protection and Electronic Documents Act ("PIPEDA") and applicable provincial privacy legislation.
If you are located in the Province of Quebec, we also process personal information in accordance with the Act respecting the protection of personal information in the private sector, as amended by Law 25. This includes obtaining consent where required, limiting our collection to what is necessary for the purposes identified, and honoring applicable rights of access, correction, and portability. We will inform you if a decision about you is based exclusively on automated processing of your personal information where required to do so by law.
By using the Services or submitting Personal Data to us, you acknowledge and agree that your Personal Data may be collected, processed, stored, and transferred outside of Canada, including in the United States and other jurisdictions where our service providers operate.
Personal Data processed outside Canada may be accessible to courts, law enforcement agencies, national security authorities, and regulatory authorities in accordance with the laws of those jurisdictions.

Changes To The Privacy Policy
The Services, and our business may change from time to time. As a result, we may change this Privacy Policy at any time. When we do, we will post an updated version on this page, unless another type of notice is required by the applicable law. By continuing to use our Services or providing us with Personal Data after we have posted an updated Privacy Policy, or notified you by other means if applicable, you consent to the revised Privacy Policy and practices described in it.
